How To Add Microsoft Word, Microsoft Excel, a Tiff Image, and Paged HTML as an Output Option for Reports

Problem

You would like to send your ACT! report output to Microsoft Word, Microsoft Excel, a Tiff Image, or Paged HTML format.

It has often been mentioned that the default report outputs are not what is required and it would be great if there were other formats that reports could be saved into. This article describes exactly how to do this.

Solution

 These reports output options were added in the 7.0.4 update for ACT! 2005. You will need to ensure that you have the latest version of ACT! 2005 or higher installed and you must also add a Windows Registry Key.

Part 1

The determine which version of ACT! you have installed follow these steps

Step 1.     Use the following steps to determine your installed version of ACT!:

Step 2.     Launch ACT!

Step 1.     Click the Help menu, and then click About ACT!. The About ACT! dialog box appears:

Note: Images in your version of ACT! may differ slightly from the images used in this Article. Ensure that the Version displays 7.0.4 (or higher) in the upper-right corner.

NOTE: If your installed application has not been updated to the 7.0.4 version, you must install the current update to access this option. Refer to the following Knowledge Base document for detailed information on updating ACT! to the current version:

Part 2 Adding New Output Formats:

To add the new formats we have prepared a registry file which will add the keys to the current user profile. You can allow these options for the current or all Windows users. The following registry key backup, when imported will add this feature:

ReportsFormat_On_CurrentUser.reg

To download and save this file to your computer use the following steps:

Right-click the appropriate file from the File Attachments section at the end of this answer, and then click Save Target As. A Save As dialog appears.

Browse to your Windows Desktop, (do not rename this file) and then click Save.

Caution:We strongly recommend that you back up the system registry before making any changes. Incorrect changes to the registry could result in permanent data loss or corrupted files. Please make sure you modify only the keys specified. For detailed information on backing up the Windows Registry, please refer to the following Knowledge Base document:

Double-click on the file that you downloaded above. The following Registry Editor dialog box appears:




Click Yes to add the registry key. The following Registry Editor message window appears:




Click OK to clear this window. The registry key has been added.
Launch ACT!
Click the Reports menu, and then click any report. The Define Filters dialog box appears:




Click the drop-down for Send the report output to option to view the four new formats.


Manually Adding Output Formats:

You have attempted to add the registry key using the back up files and this method has failed. You will need to manually add the registry key. Use the following steps:

Click the Windows Start button, and then click Run. The Run dialog box appears.
Type regedit in the Open field, and then click OK. The Windows Registry Editor appears.
For All Users:
 

Click the plus sign next to My Computer to expand.
Click the plus sign next to HKEY_CURRENT_USER to expand.
Click the plus sign next to SOFTWARE to expand.
Right-click the ACT folder, point to New, and then click Key from the shortcut menu. A New Key appears.
Rename the New Key to PToys.
Right-click the PToys folder, point to New, and then click Key from the shortcut menu. A New Key appears.
Rename this New Key to Reports.
Right-click the Reports folder, point to New, and then click DWORD Value. A New Value appears in the Name column in the right pane.
Rename the New Value to IsOutTiff.
Right-click IsOutTiff, and then click Modify. The Edit DWORD Value dialog box appears.




Change the Value data to 1, and then click OK.
Repeat steps h through k, to create IsOutExcel, IsOutMSWord, and IsOutPageHtml DWORD Values under the Reports key.


Close the Windows Registry Editor and launch ACT!
Click the Reports menu, and then click any report.




Click the drop-down for Send the report output to option and you will see the four new formats.




Removing New Output Formats:

Using the Registry Backup:
You will need to modify a Windows Registry key on your computer. You can allow these options to be removed for the Current or All Windows users. The following registry key backup, when imported will remove this feature:

ReportsFormat_Off_CurrentUser.reg
Download and save this file to your computer use the following steps:

Choose the appropriate file from the file attachment area of this answer, located at the bottom of this page.
The File Download dialog box appears.
Click Save. A Save As dialog box appears.
Browse to your Windows Desktop, (do not rename this file) and then click Save.

For All Users:




Navigate to the following key:

HKEY_LOCAL_MACHINE\SOFTWARE\ACT\PToys\Reports


Right-click IsOutTiff in the right pane, and then click Modify. The Edit DWORD Value dialog box appears.




Change the Value data to 0, and then click OK.
Right-click IsOutExcel, and then click Modify. The Edit DWORD Value dialog box appears.
Change the Value data to 0, and then click OK.
Right-click IsOutMSWord, and then click Modify. The Edit DWORD Value dialog box appears.
Change the Value data to 0, and then click OK.
Right-click IsOutPageHtml , and then click Modify. The Edit DWORD Value dialog box appears.
Change the Value data to 0, and then click OK.

For Current Users:




Navigate to the following key:

HKEY_CURRENT_USER\SOFTWARE\ACT\PToys\Reports


Right-click IsOutTiff in the right pane, and then click Modify. The Edit DWORD Value dialog box appears:




Change the Value data to 0, and then click OK.
Right-click IsOutExcel, and then click Modify. The Edit DWORD Value dialog box appears.
Change the Value data to 0, and then click OK.
Right-click IsOutMSWord, and then click Modify. The Edit DWORD Value dialog box appears.
Change the Value data to 0, and then click OK.
Right-click IsOutPageHtml , and then click Modify. The Edit DWORD Value dialog box appears.
Change the Value data to 0, and then click OK.


Close the Windows Registry Editor and launch ACT!
Click the Reports menu, and then click any report. The Define Filters dialog box appears:




Click the drop-down for Send the report output to option to verify that the four new formats have been removed.
